Performing an Inspection – Tekmetric

The Tekmetric guide explains how to enhance digital vehicle inspections by linking canned jobs to recommended services for efficient repair order creation, sending technician-recorded videos for clearer customer communication, attaching diagnostic scan data for transparency and record-keeping, and details the step-by-step process of performing an inspection within the system, including creating a repair order, adding inspections, assigning technicians, and rating inspection items.

With digital vehicle inspections, you can write a story using pictures and explanations on what vehicle issues were found for your customers. Here are some ways to advance your digital vehicle inspections (DVI) setup and usage:

  1. 1.Linking Canned Jobs: Service advisors can be more efficient when estimating repairs or services if canned jobs are linked to DVI recommended services. For example, if a technician recommends a transmission exchange based on the inspection, you can set up your DVI to auto-populate the service recommendation onto the repair order. This saves time by not having to build the job from scratch and allows tailoring the populated service to the specific vehicle.
  2. 2.Send Videos: Technicians can record videos to provide clearer communication to customers. Showing a video of a loose ball joint, for example, conveys the issue more effectively than just describing it.
  3. 3.Attach Diagnostic Results: Attach scan tool data pictures to the DVIs, such as mode six data, module information, and faults. Even if customers don't fully understand the data, it demonstrates the value of the diagnostic charge and keeps a record in the DVI history for future reference.

Perform an Inspection

    Create a Repair Order (RO).

  2. 2.

    Once the RO is created, select the second tab, Inspections.

  3. 3.

    Click the blue Add New Inspection button and select which inspection(s) you'd like to add to this RO. The tasks for the selected inspections will appear.

  4. 4.

    Select Assign Tech to assign an employee to the inspection. Note: You must assign a tech on the grey RO sidebar for the RO to appear on the tech's job board.

  5. 5.

    To begin the inspection, select the edit icon (pencil) on the top right of the inspection checklist or next to any line item. In edit mode, you can select one of four ratings for each line item:

    • Check & Okay
    • May Require Attention Soon (prompts the inspector to report this line item once inspection is saved)
    • Requires Immediate Attention (prompts the inspector to report this line item once inspection is saved)
    • Not Applicable

    Pro Tip: In edit mode, you can click the Rate All Tasks button in the top left of the inspection table to auto-fill any blank inspection lines with one of the four options.

    Note: If you do not select one of these four options for a line item, it will appear to the customer as "Incomplete" in the Vehicle Health Report (if shared). Using the "Not Applicable" option confirms to the customer that the inspection was fully completed. The blue progress bar at the bottom of the inspection screen displays the completion percentage after you save the progress on inspection line items.

    Add findings for inspection task line items (if applicable):

    • Pre-set Drop-Down: If there are findings pre-loaded in the inspections configuration, click the drop-down icon for the row and choose the pre-set finding option.
    • Custom Finding: You can manually type a custom finding for each line item if necessary.

    Add photos, videos, or PDFs (if applicable):

    • Click the camera, video, or PDF icon next to the row you want to add a file for.
      • On desktop, this opens your file browser to select a file.
      • On phone or tablet, this opens your camera or allows you to select a file from the device.
      • For PDFs, select the PDF you wish to attach. You can attach multiple PDFs per finding.
    • Edit Photo: Draw on the photo by hovering over it, clicking the three action dots, and selecting Edit. Choose a color and use your finger or mouse to draw. Click Save in the top right corner of the drawing screen.
    • Videos cannot be edited at this time.

    Add links to your inspections that are relevant to your inspection task:

    • Copy and paste a link to a website inside the findings box of your inspection.
    • This link will appear on the findings of the inspection when sent to the customer and under technician concerns for any findings marked yellow or red under the estimate tab of the repair order.

    Save the inspection:

    • Click the blue Save button when done. Items marked as red or yellow will automatically appear in the Technician Concerns table at the top of the Inspection Tab and the Estimate Tab. This helps the service writer see customer concerns along with any concerns or recommended jobs from the technician.

Share Inspection with Customer

Click the share icon (computer screen with an arrow) on the top right corner of the Repair Order, choose Share Inspection, and enter the email or phone number to send it to. You can send the inspection to multiple numbers if needed.

Print Inspection

You can print the inspection with or without photos (videos are not printable). Click the printer icon in the top right of the inspection and choose your preferred option.

Pro Tip: The Vehicle Health Report is automatically sent to the customer in a second tab when you send Estimates. If you're planning to send the customer the estimate, it's easier to send both in one click rather than sending the inspection separately and again with the estimate.
